Practical guide

Check an invoice before sharing it

A practical checklist for parties, dates, tax, discounts and the final PDF.

An invoice is useful only when the recipient can identify the transaction and verify the amount. A polished layout cannot compensate for a wrong customer name, an unclear due date or a tax figure that does not match the underlying items. Prepare the business details first, then use the Invoice & Quotation Maker to assemble the document.

Collect the information before typing

Write down the seller and customer names, addresses, invoice or quotation number, issue date, due or validity date, item descriptions, quantities, unit prices and any agreed discount. Add payment instructions only if they are appropriate to share. If you need a tax registration number or a particular legal statement, check your local requirements separately; this tool does not verify registration or issue a government e-invoice.

A small arithmetic example

Suppose two items cost ₹500 each. The subtotal is ₹1,000. A ₹100 discount leaves ₹900. With a tax rate of 10% applied to that discounted subtotal, the tax is ₹90 and the total is ₹990. Enter those figures in the tool and compare its preview with your own arithmetic. If a contract says tax is calculated before a discount, this simple calculator's order will not match that arrangement.

Review the document as a recipient would

  1. Check the names, invoice number and dates. A reused draft may carry details from an earlier customer.
  2. Read every line item and confirm quantity × price. A vague description can make a correct total hard to approve.
  3. Check discount and tax as separate lines, then compare the final amount with your agreement.
  4. Choose Print / Save as PDF and inspect the saved PDF. Browser print settings can add headers or footers; turn them off if necessary.

The editable draft download is a JSON file that can contain customer and payment information. Store it privately. If you later open that draft, review the dates and totals again before sending a new invoice.
