Practical guide

Turn a rough request into a clear work email

Build a useful subject, action request and deadline, then review an AI draft.

A useful work email tells the reader what happened, what you need and when you need it. Style matters, but missing details cause more trouble than a plain sentence does. Before asking an AI tool to draft the message, list the facts that must survive the rewrite.

Start with the facts

Imagine you need a colleague to send a revised invoice before Friday at 3 pm. Your notes might say: “invoice wrong, fix tax, send by Friday.” A clearer request identifies the invoice, the exact field to check and the deadline's time zone if the team works across regions. If you do not know the correct tax amount, ask the colleague to verify it rather than inventing a number.

Use the Email Writer to draft from your facts. For example: “Write a polite, direct email to our accounts team. Ask them to verify the tax calculation on invoice INV-001 and send a revised copy by Friday, 3 pm IST. Do not assume the correct tax amount.” Choose a professional tone and review the generated subject and body.

A practical structure

  1. Subject: Name the document and requested action.
  2. Opening: Give one line of context, such as the invoice number.
  3. Request: State the action precisely and include the deadline.
  4. Close: Invite questions if the recipient needs more information.

ReWordly, another Amit Mehta Groups website, can improve a sentence after the facts are settled. If the original says “mall” and the intended word is “mail,” correct that before rewriting. An AI may treat a valid but wrong word as intentional, especially when the surrounding sentence is unclear.

Review before sending

Compare the draft with your original notes. Check names, dates, numbers, attachments and who is responsible for the next action. Remove any claim or promise the AI added without your authority. AMG Tools’ Email Writer sends submitted text to Groq for processing. ReWordly is a separate website; check its privacy policy before submitting text there. Avoid including confidential account details or private documents unless you are comfortable with the relevant processing.
